Privacy Policy

Casily ("we", "us") operates casily.ai. This policy explains what we collect, why we collect it, and the choices you have.

Data we hold

• Account data: your email address and authentication identifiers.
• Content you add: proof items, contacts, deals, notes, transcripts, uploaded files and material fetched from URLs you provide.
• Customer approval records: the choices your customers make when they approve proof — what may be used (name, logo, numbers, quotes) and where (proposals, your website, social, anonymised only) — together with the timestamps and withdrawal history of those decisions.
• Connected tools: credentials for tools you connect are stored encrypted and used only to pull the material you asked us to pull.
• Product usage events, used to understand activation and improve the product.
• Proof activity: a count of when a proof page, collection, embed or private prospect link was opened, and when your own team copied, cited or sent an item. Each record holds the event, what it was about, the site a visit came from, and the time — no IP address, no browser or device details, no cookie and no fingerprint. These records are kept for twelve months and then deleted.

How we use it

We use your content to run the product features you trigger: tagging proof, drafting proof, matching proof to prospects, and preparing the customer approvals you send. Content you submit may be processed by third-party AI model providers to produce those outputs. We do not sell your data, and the AI providers we use — Anthropic, Google and OpenAI — do not train their models on content submitted through their commercial APIs. Proof classes

Proof in Casily carries one of three classes. Confirmed proof has been approved by the customer it is about. Sourced proof is attributed third-party material — such as an imported review with a named reviewer and a link to the original — that you have attested is a genuine review of your business. Reference material is everything else, and is never published as customer-endorsed proof. Imported reviews keep the reviewer name, company, date and original link you provide; we do not invent attribution.

Transcripts and retention

You choose how long call transcripts are kept, per workspace: discard the transcript after its content has been extracted, keep it for seven days, or keep it until you delete it. The current setting and what each option does are described on our security page.

Customer approval and withdrawal

When a customer approves proof through Casily, their decision — including the scopes they allowed — is recorded so the product can enforce it. A customer can withdraw at any time from the link in their approval email; withdrawal takes published pages down and blocks affected outputs. We keep the record of the decision and its withdrawal as part of the workspace's audit history.

Video embeds

Video proof is embedded from YouTube, Vimeo, Loom or Wistia. The video file stays with the provider, and the provider receives nothing about your visitors until someone presses play. The details, including where each provider processes data, are on our security page.

Retention and deletion

We keep your data while your account is active, subject to the transcript retention setting you choose. You can delete individual records at any time, and you can ask us to export or delete your account and all associated data by emailing philip@casily.ai.

Your rights

Depending on where you live, you may have rights to access, correct, export or erase your personal data. Contact us and we will action verified requests within 30 days.
